Export coded spend
Send ready charges to Sage Intacct, download them as a file, or export them automatically.
Charges go to accounting from the Accounting page in the left menu. Admins and Managers can export.
What's ready to export
A charge is ready once it's coded, approved and has everything your company requires, like a receipt or memo. The Accounting page counts them under Ready to Sync, with the total.
If a charge isn't ready, open it. Next to the sync button, one line says what's holding it back:
| You'll see | What to do |
|---|---|
| Finish coding this transaction to sync. | Fill in the missing coding fields |
| Waiting on approval before it can sync. | It's still in approval. See Review and approve |
| Receipt or memo required before it can sync. | Add the receipt or memo |
| Excluded from sync. | It was kept out of accounting on purpose |
Export to Sage Intacct
- Open Accounting.
- Under Ready to Sync, click Export to Sage.
Summit sends the charges in the background. While it runs, the button says Sync in progress…. When it's done, they move to Synced, and Sync history on the same page lists each run.
To send one charge on its own, open it and click Sync to Sage Intacct.
If any charges fail, Retry N Failed sends them again once you've fixed the cause. See Sync and export errors.
Download a file instead
Under Ready to Sync:
- Export N Transactions to CSV downloads a CSV in Sage Intacct's Credit Card Transaction import format. Click Download CSV to confirm.
- Export with Receipts (ZIP) downloads the same CSV plus every matched receipt file.
Either way, the charges are marked as exported once the file downloads, so they won't be sent again.
Without a connected accounting system, import the CSV into Sage Intacct from Cash Management > Credit Card Transactions > Import.
Export automatically
To send charges to Sage as soon as they're ready, an Admin goes to Settings > Summit AI, opens Export to Sage Intacct, and turns on Card charges under Automatic export. It's off until someone turns it on.
With it on, Only when coded by sets who must have coded a charge for it to go automatically: Admins, Managers and admins or Anyone. Charges coded by anyone else, including charges Summit AI coded unless you chose Anyone, wait in Ready to Sync for someone to export them. Approval workflows apply either way.
The Accounting page shows Auto-export on or Auto-export off so you can tell at a glance.
After a charge is exported
- Its row on Transactions moves to the Synced tab.
- Once it's paid in Sage Intacct, its coding locks in Summit, and the charge shows Paid in Sage Intacct with Open in Sage Intacct. To change it, fix it in Sage.
- Settings > Accounting > ERP connection has an Export history tab listing every export and why any failed.
QuickBooks Online
QuickBooks Online is in beta. Email support@summitspend.com before you rely on it. Automatic export works with Sage Intacct only.
