Create a custom role

Build a role with exactly the permissions someone needs, like an accountant or an auditor.

Admin, Manager and Member cover most teams. When someone needs a different mix, such as an outside accountant who can export but not approve, create a custom role. Custom roles are included on the Professional plan and up.

Create one

  1. Go to People and open the Roles tab.
  2. Under Custom Roles, click Create a custom role.
  3. Give it a name and a short description of what it's for.
  4. Pick a starting point: Admin (All Permissions), Manager, Member (Minimal) or Blank (No Permissions). Then tick or untick permissions on the Permissions tab. Use Search permissions… to find one fast.
  5. On the Card visibility tab, choose whether the role sees every card, account and transaction, or Only selected cards.
  6. Click Save changes.

To give someone the role, open them in People and pick it under Role.

Only selected cards

With Only selected cards, each person sees their own cards plus the ones you share with them on their profile, under Can also see. See Share a card with someone else.

Change the built-in roles

The System Roles (Admin, Manager and Member) can't be renamed or deleted, but you can change their permissions. Click Edit on the role. Admins always see every card.

Delete a custom role

Click Delete on the role's card, then Delete role to confirm. You can't delete a role while people still hold it, so move them to another role first.
