Receipt and memo requirements
Decide what every charge needs, allow waivers, set up emailed receipts and turn on reminders.
Set what each charge needs
- Go to Settings > Spend controls > Policy and open the Requirements tab.
- Under Before submitting, set each row for Card charges and Out-of-pocket spend: Always, Over $…, Optional or Not used.
- Receipt and Memo are there to start. Click Add a field… to also require a coding field, like GL account, Department or Project.
- To be stricter for some spend, click Add exception under Stricter for some spend and set when it applies.
A charge that's missing something it needs can't become Ready or go to accounting until it's complete.
Allow receipt waivers
Under When something's missing, turn on Allow receipt waivers. It's off until you turn it on.
Cardholders then request a waiver from the mobile app when a receipt is lost. An approver approves or denies it on the charge. Nobody can approve their own waiver.
Let people email their receipts
Go to Settings > Cards & receipts > Receipt & bill email and turn on Receipt forwarding. Everyone then sends receipts to receipts@summitspend.com.
Receipts are matched by who sent them, so each person must send from the email they sign in with. A receipt from any other address is dropped without a bounce. Tell your team this when you roll Summit out. Receipt forwarding is included on the Professional plan and up.
Turn on reminders
Go to Settings > Spend controls > Reminders & alerts. Each reminder is off until you turn it on.
| Reminder | What it does | You choose |
|---|---|---|
| Receipt missing reminders | Reminds cardholders about charges with no receipt | The amount it starts at, how often (daily, weekly, every two weeks), the day, and email, in app or both |
| Uncoded transaction reminders | Reminds cardholders about charges that aren't coded | How old a charge must be, how often, the day, and how it's sent |
| Weekly digest email | A Monday summary of what's missing | On or off |
Reminders go to each card's assigned cardholder, so assign your cards first. People can turn their own reminders off under Settings > Notifications.
