Review a pay application
Find a sub's pay app, work through Summit's findings, and sign it off.
When a subcontractor's pay application syncs from Procore, Summit checks it and lists what it found. You read the findings, check anything that needs it against the documents, and sign the review off.
The review is advisory. It doesn't block payment or export, and it doesn't change anything in Procore. Check against the original documents before you release funds.
Managers and Admins can run reviews and sign them off.
Find a pay app
- Open Construction in the left menu. Projects is the first tab.
- Open the project and choose the Pay apps tab.
- Click the pay app.
Each pay app shows its Procore status, like Under review, Approved or Sent back to the sub, and Open Procore takes you to it there.
What's on the page
- Application summary: the contract amount, approved change orders, completed and stored to date, Retainage held, previous payments and Current due.
- Schedule of values: each line, this period and to date.
- Findings: problems the review found, most serious first. Click Show details on one to see the numbers behind it.
- Passed checks: what the review checked and found in order.
- Lien waivers and insurance: the waiver on file for this pay app, and whether the sub's certificate of insurance is current.
A pay app that hasn't been checked yet shows Not reviewed yet. Click Run review to check it now. After a change, Re-run review checks it again. Reviews also re-run on their own when the Procore records behind them change.
Draft a note to the sub
Draft note to sub can hold a message about the findings, written by Summit AI. Click Regenerate to ask for a draft, then Copy it into your own email. Summit never sends it for you.
Draft notes are off until an Admin turns them on in Settings > Summit AI, under Pay app notes.
Sign it off
- Under Sign-off, click Mark reviewed.
- Add an Optional note, like what you checked or who you spoke to.
- Click Confirm.
The pay app then shows who signed it off and when. If the Procore data changes after you sign off, Summit marks the review invalidated, so look at it again.
Not seeing a pay app?
It may not have synced yet, or the Procore user Summit connects as can't see it. See the troubleshooting in Connect Procore. If the findings flag a missing project or vendor link, see Link Procore projects and vendors.
