Connect Procore

Install the Summit Spend app in Procore, connect your Procore company, and keep pay applications syncing.

Connecting Procore brings your projects, commitments, owner and subcontractor pay applications, and vendor information into Summit for pay application review.

Before you start

  • The Construction module has to be on. It's turned on by Summit, not in your settings. If Procore doesn't show in Settings > Accounting > ERP connection, email support@summitspend.com.
  • A Summit Admin connects it. Connecting needs the Construction › Procore setup permission, which Admins have. Others see "An Admin can connect Procore."
  • A Procore user who can access the right company, its projects, Company Directory, Commitments, Prime Contracts, Change Orders and Invoicing. Summit syncs with this user's access.
  • Access to private records where you need them. Private contracts, their schedules of values and invoice details need their own access in Procore. Tool access alone may not include them. Ask your Procore administrator to grant access only to the records you want synced.
  • A Procore company administrator to install the app.

Install and connect

  1. In Procore, open Company Admin > App Management and install the Summit Spend app, using the version Summit provides for your account.
  2. In Summit, go to Settings > Accounting > ERP connection (open it).
  3. On the Procore card, click Connect Procore. Sign in on Procore's page with the user whose access Summit should use.
  4. Back in Summit, if that user can see more than one Procore company, Choose a Procore company. Check the name, then click Connect selected company. A single company connects on its own.
  5. Check that the Procore card shows the right company as connected. Click Sync now, then check the sync time and the Construction area.
  6. Link your Procore projects and vendors to your accounting records. See Link Procore projects and vendors.

One Summit company connects to one Procore company. Reconnecting has to use the same Procore company, so your history stays consistent. For a different Procore company, use a separate Summit company.

What the connection does

  • Summit reads Procore data with the connecting user's access. It doesn't create a Procore service account, and it doesn't write approvals, payments, contracts or changes back to Procore.
  • Sync runs every hour, and you can click Sync now anytime. Records the user can't see in Procore won't be in Summit.
  • Pay application reviews run when the records behind them change. An hourly sync with no changes doesn't re-run them.
  • Drafting a note to a sub with Summit AI is optional and follows your company's Summit AI settings. When it's on, the pay application and review details are processed by our AI provider, Anthropic, to prepare a draft for a person to review. Drafts are never sent to Procore or vendors automatically. Syncing doesn't need it.

Troubleshooting

  • The connection expired or was cancelled. Start Connect Procore again. Choosing a company times out after ten minutes. Cancelling a reconnect partway keeps the previous connection.
  • Wrong company. Click Cancel selection before you confirm. A connected Summit company can't be switched to a different Procore company by reconnecting.
  • Missing projects, invoices or private contracts. Ask your Procore administrator to check the connecting user's project membership, financial tool permissions and private-record access.
  • The card shows Reconnect Procore. Procore stopped accepting the connection. Click Reconnect Procore and sign in as a suitable user for the same company.
  • Sync is behind. Procore rate limits or brief outages can delay a run. Check the last sync time before trying again. If it keeps failing, email support.

Disconnect

On the Procore card, click Disconnect and confirm. Pay applications and compliance documents stop syncing. What's already synced, and your review history, stays in Summit. Disconnecting doesn't uninstall the app from Procore; your Procore administrator removes it there.
