Invite people and choose roles
Add your team, pick the right role for each person, and manage access.
Invite someone
- Go to People and click Add person.
- Enter their first name, last name and email address. Use the email they'll sign in with; it's also the only address their emailed receipts can come from.
- Tick Can log in and pick a Role.
- Click Send invite. They get an email with a sign-in link. The invite is good for 7 days.
To track someone who spends on a card but never signs in, leave Can log in unticked. You can still give them a department and assign them cards.
What each role can do
| Role | Sees | Can do |
|---|---|---|
| Admin | Every card and charge | Everything, including settings, people, cards, approvals setup and accounting connections |
| Manager | Every card and charge | Code, split, flag and approve charges; run exports; approve reimbursements. Can't invite people, assign cards or change company settings |
| Member | Their own cards, plus cards shared with them | Add receipts and memos, code their own charges, submit reimbursements |
Anyone who approves needs to be a Manager or an Admin. Members don't have the Approvals page, so a Member named in an approval workflow can't approve from Summit.
To let a Member see a card they don't hold, share it with them: see Share a card.
Manage invites and people
- Pending invites lists everyone who hasn't signed in yet, with Resend (which also gives them 7 more days) and Revoke.
- Change a role: open the person and change Role under Access. You can't change your own role, and your company always needs at least one Admin.
- Help someone sign in: open the person and click Send sign-in link.
- Remove access: open the person and click Deactivate account under Danger zone. It blocks sign-in and ends their sessions, but keeps their cards and history. Reactivate brings them back.
