Code charges
Get each charge to Ready: read its status, use Summit's suggestions, code in bulk and split.
A charge is ready for accounting once it's coded, approved and has what your company requires.
Where each charge stands
The tabs on Transactions show it:
| Tab | What it means |
|---|---|
| Pending | The bank hasn't posted the charge yet |
| Needs Review | Something is missing: coding, approval, a receipt or a memo |
| Ready | Everything is done; it's waiting to go to accounting |
| Synced | It's in your accounting system |
| Excluded | Kept out of accounting on purpose |
The chips on each row say what's missing, such as No GL. No Receipt and No Memo show only when one of your company's receipt and memo requirements applies to the charge; with no requirement set, a missing receipt or memo doesn't hold a charge back. When a row has more than one chip, the most urgent shows first and +N shows the rest when you hover over it.
Code one charge
- Open the charge from Transactions.
- Fill in the coding fields your company uses, such as GL Account, Department, Project, Location or Class. Your company may have renamed them.
- Changes save on their own.
Use Summit's suggestions. Each field's list shows a Suggested section at the top, with how sure Summit is. Click a suggestion to use it. A suggested memo has a Use button.
Code many at once
- On Transactions, tick the rows.
- Click Bulk Code and fill in the fields.
- Click Apply to N transactions.
The same bar has Mark Ready and Mark Excluded.
Split a charge
Open it and choose Split across departments or projects. Add lines until they add up to the total, then Save Splits. Pending charges can't be split. Splits are included on the Professional plan and up.
After export
Once a charge is paid in Sage Intacct, its coding locks in Summit. Your company may also lock coding once a charge is approved. If something truly needs to change, ask an admin.
